The main setting to update recurring invoice lines when product values change</span></strong></p><p><br></p><p>As the setting explains, the product updates on the recurring invoice lines, will include: Name, Sales Description, Recurring Price, Recurring Cost, Tax code, Quickbooks Product ID, Tax code (Sales). The Option to update all lines, or only non-bundle lines when updating the product record</span></strong></p><p><br></p><p><strong><span style="font-size: 14pt;">Update item costs/prices</span></strong></p><p>When the price/cost of a recurring item is changed this can also update the recurring invoices this item appears on. </p><p><br></p><p>Head to products > select a product > costing and pricing, here you can change the costs/prices of this item. It is important to note there are two types of cost/price. Fixed, this is the price that will be charged when the item is ordered as a one off. Recurring, this is the price that will be charged when the item is on a recurring invoice. </p><p><br></p><p>To change the price and cost of this item on your existing recurring invoices, change the values in the 'Recurring price' and 'Recurring Cost' fields (respectively). Fields to update on recurring product</span></strong></p><p><br></p><p>Once prices are updated this will take a few minutes to take effect, you will receive a pop-up to prompt you about this. </p><p><br></p><p><strong><em>Note: This will change the price on the recurring invoice, if the invoice for the period has already been created you will need to delete the invoice and re-create it. </em></strong></p><p> </p><p><strong><span style="font-size: 14pt;">How to update item prices using product bundles</span></strong></p><p>If you are using product bundles you can change the price for the bundle on recurring invoices rather than changing it on each item. </p><p><br></p><p>To do this head to configuration > quotations, here you will see the setting shown in figure 2. </p><p><img src="https://halo.haloservicedesk.com/api/attachment/image?token=eyJhbGciOiJIUzI1NiIsInR5cCI6IkpXVCJ9.eyJpZCI6IjAyMTNlZDAzLWZmYjQtNGEzZS1iNWY5LWQ0ZTMzY2EzOWQ1YiJ9.smX-pvLfmyb3uf7i7G10xDpfVWSuwUA7WJ5eecYko1A" class="fr-fic fr-fil fr-dib" width="686" height="412"></p><p><strong><span style="font-size: 10pt;">Fig 5. When disabled new recurring invoices will use the price set on the bundle but existing recurring invoice prices will not change. </p><p><br></p><p><strong><em>Note: Changing the item price on a bundle will not change the price of the linked item, it will only affect the bundle price. </em></strong></p><p><br></p><p><strong><span style="font-size: 14pt;">Set automatic percentage increases for invoice lines</span></strong></p><p>An automatic percentage increase can be applied to recurring invoice lines to allow the invoice to account for inflation. </p><p><br></p><p>The line will increase by the set percentage each increase period.</p><p><br></p><p>To set the default percentage increase, head to configuration > billing > recurring invoices, see the setting 'Retail Prices Index (RPI) Percent Increase'.</p><p><img src="https://halo.haloservicedesk.com/api/attachment/image?token=eyJhbGciOiJIUzI1NiIsInR5cCI6IkpXVCJ9.eyJpZCI6ImM3Nzg2YTg1LTE5MzktNDVjNy04ZGIzLTg5YWQyMDNjNmU1YyJ9.USDJPhhbaYEZ5z9OJVL72aVXBTQ0B5zHlouo69h1erY" class="fr-fic fr-fil fr-dib" width="723" style="width: 725px; height: 255.551px;" height="256"></p><p><strong><span style="font-size: 10pt;">Fig 7. Automatic Increase for Recurring Invoice</span></strong></p><p><br></p><p><strong>Percent Increase Period - </strong>Choose the interval at which the invoice's price will increase. </p><p><strong>Percent Increase -</strong> Choose the percentage you would like the price of the lines to increase by. This overrides your RPI. If you would like to use your RPI rate this will need to be entered here, otherwise you will need to set each of the lines to 'Use RPI Percent Increase'. </p><p><br></p><p>To set the increase for specific lines on a recurring invoice, edit a line and scroll to the 'Automatic increase' section, expand this. When enabled this line will not have it's price increased used for products/services excluded from the affects of inflation, or that has it's price updated otherwise. </span></p><p data-pasted="true"><strong>Percent Increase Period -</strong> Choose the interval at which this line's price will increase. </p><p><strong>Percent Increase - </strong>Choose the percentage you would like the price of the lines to increase by. If you would like to use your RPI rate check 'Use RPI Percent Increase'. </p><p><strong>Date of last automatic increase -</strong> Enter the date this line's price last increase. This will be considered when calculating when to apply the next increase to this line's price. Increases will not apply until the date exceeds this date plus one percent increase period.</p><p><br></p><p>Please be aware that if you have set your invoices to generate ahead of schedule, the system will not account for this in the calculations for the date of next increase. Rather than a set increase being configured to apply every period indefinitely you can create a custom schedule for the increase. Allowing you to choose how long this percentage increase should apply for, and the periods in which it should be applied (yearly, monthly, weekly etc). </p><p><br></p><p>This could be utilised to automatically apply a one off increase, such as after an introductory price ends, or schedule increases for later in the year, for example. </p><p><br></p><p>Increases can be configured at the following levels:</p><ul><li>Recurring Invoice</li><li>Recurring Invoice line group</li><li>Recurring Invoice line </li></ul><p><br></p><p>Increases are configured the same way but in different locations for each of these levels. </p><p><br></p><p><strong><span style="font-size: 12pt;">Enable Schedule Based Increases</span></strong></p><p>To make schedule based increases available on recurring invoices these must first be enabled under Configuration > Billing > Recurring Invoices > "Use schedule based automatic increases". </p><p><img src="https://halo.haloservicedesk.com/api/attachment/image?token=eyJhbGciOiJIUzI1NiIsInR5cCI6IkpXVCJ9.eyJpZCI6ImY5YWYwYWIyLWZhNjktNDZlYS1hZDJiLWFmOTRlYmZjM2ZlOCJ9.wIXKcbL9vsXJJ8Ixw_sevsdVuKAOMd5Pb1XRBVfZKtk" class="fr-fic fr-fil fr-dib" style="width: 609px; height: 272.106px;" width="607" height="272"></p><p><strong><span style="font-size: 10pt;">Fig 11. Automatic Increase Schedule Options</span></strong></p><p><br></p><p data-pasted="true"><strong>Percent Increase Period - </strong>The interval in which the increase will apply. </p><p><strong>Start Date -</strong> The date the increase will apply from. To schedule an increase for the future, choose the future date you would like it to apply here. </p><p><strong>End date -</strong> The date the increase will stop applying from. For a one-off increase choo<span style="color: rgb(0, 0, 0);">se the same day th</span>e increase was applied. </p><p><strong>Sequence - </strong>Only applicable when multiple increases are configured for the invoice, and multiple increases are due to apply to the same line on the same day. This will control the order in which increases will apply. Increases with a lower sequence take precedence. </p><p><strong>Note - </strong>Add any notes about the increase here for your reference. </p><p><strong>Use RPI Percent Increase - </strong>Enable this if you want to apply your configure RPI percentage increase instead of a custom percentage.</p><p><strong>Percent Increase -</strong> Choose the percentage you would like the lines price to increase by. </p><p><br></p><p>Using the Figure 16 example the price will increase by 10% from the 01/08. The price will increase by another 10% on 01/09, any invoices created after this will not have their price increased any further.</p><p><br></p><p><strong>Which Invoice will the Increase apply in? </strong></p><p>The invoice in which the increase will apply will depend on whether you have "Apply automatic price increases to Recurring Invoices before creating the next Invoice" enabled. If an increase is scheduled for the 1st October this will be added to the invoice that bills for the period 01/10 - 31/10.</li></ul><p><strong>When Disabled -</strong> Increases will be applied on the invoice for the period after the period the increase starts in. </p><ul><li data-pasted="true">For example, my recurring invoice is billed monthly for the period 1st-last day of the month. If an increase is scheduled for the 1st October this will be added to the invoice that bills for the period 01/11 - 30/11.</li></ul><p><br></p><p><strong><span style="font-size: 12pt;">Identifying Increases</span></strong></p><p data-pasted="true">When an increase is due to be applied to a line for the next invoice creation, an icon will display next to the price denoting this.
