Ability to Edit Articles</strong></p><p><strong>- Publishing Articles Using Unique Links</strong></p><p><br></p><p><br></p><p><strong><span style="font-size: 14pt;">Restrict User Access to FAQ Lists<br></span></strong></p><p>Restricting access to an FAQ list means selected users will not be able to see any articles on this FAQ list<span style="color: rgb(0, 0, 0);">. If the article is on another FAQ list which the user does have access to, the user will be able to see the article under that FAQ list. R</span>estricting article access in this way is useful if articles are organised into FAQ lists based on who should have access to them.&nbsp;</p><p><br></p><p>To restrict access head to Configuration &gt; Knowledge base &gt; FAQ lists &gt; select a list, use the settings highlighted in Figure 1.&nbsp;</p><p><img src="https://halo.haloservicedesk.com/api/attachment/image?token=eyJhbGciOiJIUzI1NiIsInR5cCI6IkpXVCJ9.eyJpZCI6ImNmNmNjMGM3LTU0NjMtNGZjYy1iODMwLTQyMzMyZTljODJmOCJ9.FXotcb44qEvqekkHC1eG6l2Q0jiL5u29naIst8pVhKE" class="fr-fic fr-fil fr-dib" width="1605" style="width: 1607px; height: 820.357px;" height="820"></p><p><strong><span style="font-size: 10pt;">Fig 1. Settings to control who has access to an FAQ list</span></strong></p><p><br></p><p data-pasted="true">Options here are as follows:</p><p style="margin-left: 20px;"><strong>Show for all Users -</strong> When enabled, articles within this FAQ list will be visible to all users. When this is disabled additional options will appear to allow you to choose the customers and users who should have access to articles on this FAQ list.&nbsp;</p><p style="margin-left: 20px;"><strong>Show for all Supplier Users -&nbsp;</strong>When enabled, all articles within this FAQ will be visible to all supplier users that have access to the portal. For more information checkout Allow Suppliers to use the Portal.</p><p style="margin-left: 20px;"><strong>Show for all Users without considering Customer permissions -&nbsp;</strong>When enabled, the client/customer level FAQ list &nbsp;restrictions are ignored, resulting in all clients and anonymous users (if applicable) being able to view the FAQ list. However, organisation level restrictions are still preserved along with any site level restrictions. This is useful for when you have multiple anonymous Self Service Portals with different FAQ List requirements.</p><p style="margin-left: 20px;"><strong>Don&#39;t show on the Self Service Portal -</strong> When enabled, articles within this FAQ list will not show in the Self Service Portal. However, users may still access these articles through the Chat Bot or Virtual Agent.&nbsp;</p><p><br></p><p><strong><span style="font-size: 12pt;">Restrict access to an FAQ List based on Customer and User Roles</span></strong></p><p>To restrict access to a FAQ list so that only selected users can view it based on their role or customer they are under disable &quot;Show for all Users&quot; then use the options shown in Figure x to set who can view this FAQ list.&nbsp;</p><p><img src="https://halo.haloservicedesk.com/api/attachment/image?token=eyJhbGciOiJIUzI1NiIsInR5cCI6IkpXVCJ9.eyJpZCI6IjIxMmJkNjBlLWRjYTAtNGU1My1hYjg4LTg2ZDY4NDQ0ZGEzMSJ9.ZtHCnctmFX0jwdanG_mTXrQi112VCRMVC9EJDSOuySs" class="fr-fic fr-fil fr-dib" width="1728" style="width: 1730px; height: 395.592px;" height="396"></p><p><strong><span style="font-size: 10pt;">Fig 2. Options to control who can use the FAQ list</span></strong></p><p><br></p><p>These two fields &quot;Customers that can view this FAQ list&quot; and &quot;User Roles that can view this FAQ List&quot; have an OR relationship, this means users only need to have one of the selected roles OR be under one of the chosen customers to view the FAQ list. If &quot;Show for all Users&quot; is disabled but no customers/roles are set here no users will be able to see this FAQ list.&nbsp;</p><p><br></p><p>The field &quot;Customers that can view this FAQ list&quot; will populate the field &quot;FAQ Lists that this Customer can view&quot; found against each customer (Customers &gt; select a customer &gt; Settings tab &gt; Knowledge Base section), and vice versa. FAQ Lists that this Customer can view</span></strong></p><p><br></p><p><strong><span style="font-size: 14pt;">Restricting Access to Individual Articles&nbsp;</span></strong></p><p>Individual articles can be restricted by customer, top level and geo location. It is important to note, if the FAQ List that the article is under has the setting &quot;Show for all Users&quot; selected, then any restrictions set on the article will not apply as they will be overridden by the FAQ list setting. The setting for &quot;Use Geo Location Restrictions for FAQ Lists&quot; may be found further down the list of settings on the knowledge base configuration page.</em></strong></p><p><br></p><p>Once enabled an additional table will appear against a KB article called &#39;Geo Location Restrictions&#39;. Here you can add entries to restrict who can see the article based on the country or continent they are in. Geo Location Restrictions table</span></strong></p><p><br></p><p>Exclude setting - When checked, all users can see this article, except users in the country/continent selected. Restricting Geo Location example</span></strong></p><p><br></p><p>It is important to note, if you set restrictions that overlap, that is you give users at a particular continent access to this article, but exclude a country under this continent, the highest level of access will be granted. So all users under the continent would have access even if they country they are in has been excluded.&nbsp;</p><p><br></p><p>Geo Location restrictions can also be set against an FAQ list. This must be enabled in configuration &gt; self service portal (seen in figure 5). Once enabled the Geo Location restriction table will appear against the FAQ list, restrictions can be set here in the same way as they are against an article. However, any access that has been granted on an FAQ list will override article access. That is, if users in a country have been given access to an FAQ list but have been excluded from seeing an article in this list, they will still be able to see the article. The Article List On The Knowledge Base Tab Of a Customer</span></strong></p><p><br></p><p>The other notable option for the knowledge base restrictions is the permission setting configured per agent, this can be overridden by changing it manually on the permission list, or inherited based off of the permissions given to the role set on that agent.</p><p><br></p><p><em><strong>Note:</strong></em><strong><em>&nbsp;If the agent is given a higher level of permission than what is inherited from the role, then this will override the role permission. If you try to give a lower level of permission than their inherited role, then the role will override that permission. Knowledge Base Access Level Set Per Agent</span></strong></p><p><br></p><p><strong><span style="font-size: 14pt;">Remove the Agents&#39; Ability to Edit Articles</span></strong></p><p><span style="font-size: 11pt;">There is a setting to stop agents from editing articles in Configuration &gt; Knowledge Base, this applies to admins as well. It can be useful to have this turned on if you want article versioning to be used by your agents instead of edits (you must enable article versioning in the same configuration area). Removing The Ability to Edit Articles</strong></span></p><p><br></p><p>When checked, agents will not be able to edit articles, the edit button will be visible, but they will not be able to edit the content fields of the article. Options such as the FAQ List, Related articles and tags will still be editable depending on the level of permissions the agent has.</p><p><br></p><p><strong><span style="font-size: 14pt;">Publishing Articles Using Unique Links</span></strong></p><p>This type of configuration is found per article when enabled.
